Help & How-To
Set your account up once, then work the platform from first lead to paid invoice. Search a task, or tap any card to expand it.
Install the app & finish onboarding
Add TrustGuard to your home screen and complete the quick setup wizard.

- On signup, install the app: iPhone uses Safari’s Share button, then Add to Home Screen. Android shows an Install prompt in Chrome.
- Complete the onboarding wizard: company details, your name, and your armed or unarmed focus.
- You land on your Dashboard. The rest of setup below lives in Profile & Settings.
Set up your public profile
Create your public company page so businesses and AI search can find you.
Show steps
- Go to Profile & Settings and open Public Profile.
- Add your company overview, services, coverage areas, logo, and any testimonials.
- Publish. You get a public page that search engines and AI assistants can read, and leads submitted there come straight to you. You can unpublish anytime.
Add your team & off-platform contacts
Invite people who log in, with roles and permissions, plus a saved recipient directory for sending.
Show steps
- Open Team & Activity from the dashboard. It opens the Team Members page, which also carries the Activity log entry at the top. Invited members log in with a role: Owner (you, full access), Manager (broad access), or Rep (scoped).
- Rep permissions you can toggle: purchase credits, send invoices, see all records (vs. only what they’re assigned), and manage clients.
- Coverage states on a rep narrow their new-lead alerts to leads in those states. Leave empty and they get alerts for all company leads.
- Off-platform contacts are a saved recipient directory with no login, like dispatchers, site supervisors, or an attorney. You can send them documents and post orders.
Connect Stripe (so you can invoice)
Link your Stripe account to bill clients and get paid online.
Show steps
- Go to Profile & Settings and tap Connect Stripe.
- Complete Stripe’s quick onboarding.
- Once connected, the Create Invoice button unlocks on every client’s Billing tab. Until then it’s greyed out.
Set up your contract templates
Save your standard terms once so contracts are ready to send.
Show steps
- Go to Contracts and open the Templates tab.
- Tap Create Template and paste your contract terms. You can keep more than one template for different service types.
- Save. When you send a contract, TrustGuard drops the client and service details into your own terms automatically.
Inbound Leads: businesses that asked for security
Businesses submit security requests through TrustGuard. You buy the ones you want with credits.
Show steps
- Open the Marketplace and pick the Inbound leads feed. Each card shows the job details up front.
- Tap a lead to see the full request. Contact details stay hidden until you purchase.
- Tap Contact [Name] to unlock the lead with credits. The credit cost is shown before you buy, and credits never expire. Buy more on the Credits page.
- Up to 3 companies can buy the same lead. After three, it leaves the marketplace.
Signal Leads: sales signals sourced daily
Businesses that need security before they go looking for it. TrustGuard finds the signal, you make the call.
Show steps
- Pick the Signal leads feed in the Marketplace. Each card is a sales signal sourced daily: government contracts out for bid, contracts coming up for rebid, construction permits, layoff notices, labor disputes, recent incident reports, disaster declarations, and business expansions.
- Every signal carries an urgency score. Hot signals have a closing action window, so start at the top.
- Filter the feed by sector (Government or Commercial), source type, and state. You can scope to your coverage states or search everywhere.
- Tap Find contact to reveal a decision-maker’s contact details. Reveals are included with TrustGuard Business and OS, no credits.
- Tap + Add to leads to copy a signal into My Leads as your own private lead with the full workspace, including a ready-to-dial Call Sheet.
Create your own leads
Track leads you found outside TrustGuard in the same pipeline.
Show steps
- Go to My Leads and tap + Create Lead.
- Type the details in, or paste any text (an email, a voicemail transcript, a note) and AI structures it into a lead card for you.
- Created leads are private to your company. They never enter the marketplace.
Open and work a lead
The lead page puts contact actions up top and the whole workspace in tabs.
Show steps
- My Leads lists every lead. Filter by status or type (Inbound, Signal, Created), and search by name.
- The lead header shows full contact details with one-tap Call, Email, and Text. On Business and OS, Email opens an in-app compose: pick a saved template, attach vault documents, and the email sends from TrustGuard with replies routed straight to you.
- Tabs: Services (build the job and send quotes or contracts), Contracts, Documents, Notes, and Lead History.
- Signal Leads you added also carry a Call Sheet tab: a ready-to-dial worksheet for the first call.
Track status & use Standby
A simple pipeline, plus a parking lot for not-right-now leads.
Show steps
- Set the status on each lead: New, Contacted, Quote Sent, Contract Sent, Hired. Quote Sent and Contract Sent flip automatically when you send.
- Not ready to buy yet? Use Move to Standby from the lead menu and pick a check-in date. Standby leads leave your active list and surface in the Standby view, soonest check-in first. Return to Active brings one back anytime.
- Done with a lead? Archive it from the same menu. Nothing is deleted, archived leads keep their history.
Assign leads to your team
Put a name on every lead so nothing sits unworked.
Show steps
- Open a lead and use the Assigned To picker. You can assign one or several team members at once.
- Assignees get a push notification the moment you assign them.
- Reps without the see-all-records permission only see leads assigned to them, so assignment is also how you control what each rep works.
Notes & reminders
Keep the paper trail on the lead and never miss a follow-up.
Show steps
- The Notes tab on every lead keeps a running log. Each note is timestamped with who wrote it.
- Tap Set Reminder in the lead menu to schedule a follow-up tied to that lead.
- All reminders, lead-linked or freeform, live in the Reminders tab in the bottom nav. Create one from there anytime with the plus button.
Send a quote
Build the job once on the Services tab, then send a priced quote in one tap.
Show steps
- On the lead’s Services tab, fill out the Client Information Sheet: service type, armed or unarmed, officer count, schedule, and your rates. Hours calculate automatically from shift times.
- Tap Send Quote. The lead gets a professional priced quote by email, branded as your company.
- The lead’s status flips to Quote Sent automatically.
Send a contract for e-signature
Your template, their details, signed online.
Show steps
- Tap Send Contract on the lead’s Services tab. Pick a template and the client and service details drop in automatically.
- The contract goes out for e-signature, branded as your company. Status flips to Contract Sent.
- When they sign, the signed copy saves to the record automatically, and the lead converts to a client for you.
Send documents
COI, W-9, licenses: keep them in your vault and send them from any lead or client.
Show steps
- Upload your company documents once to the document vault in Profile & Settings.
- On any lead or client, open the Documents tab and tap Send Documents. Pick the files and the recipients, including off-platform contacts.
- Every send is logged on the record, so you always know what went out and when.
Turn a lead into a client
A lead becomes a client automatically. Nothing to re-type.

- When a lead signs the contract you sent, TrustGuard converts them into a client automatically, with the intake details and the first service already filled in.
- You can also convert manually anytime: set the lead’s status to Hired.
- On TrustGuard Business and OS, the new client card appears in Clients, ready to work.
The client page
Everything about a client lives on one page.
Show steps
- Header: contact info with one-tap Call, Email, and Text, plus lifetime revenue and status. Email opens an in-app compose with your saved templates and vault-document attachments, sent from TrustGuard with replies routed to you.
- The Client Information dropdown holds the full Client Information Sheet details.
- Tabs: Services, Contracts, Billing, Documents, Notes, and Client History (the full timeline).
Services, assignments & post orders
The Services tab is the day-to-day command center for each client.
Show steps
- On the client’s Services tab, tap + Create Assignment to set up a new or recurring service: type, schedule, officers, and rates. You can also paste or upload details and let AI fill the form; a schedule with different hours on different days comes in as separate schedule rows for you to review.
- Tap a service card to expand it: full assignment details, status, and actions.
- Send Post Order emails the standing post instructions to your team and off-platform contacts, so everyone on the post has the same orders.
Client contracts & e-signature
Send, track, and store agreements without leaving the client page.
Show steps
- On the client’s Contracts tab, tap + Create Contract. Pick a template and the details drop in.
- Send it for e-signature and track the status: draft, sent, signed. You can void a sent contract or download a signed one.
- Signed contracts save to the client record automatically.
Send an invoice
Bill a client straight from their Billing tab. Stripe must be connected.
Show steps
- Open the client and go to the Billing tab.
- Tap + Create Invoice. It builds from the service rate and goes to the client for online payment.
- Status tracks itself: sent, paid, overdue. Paid invoices roll into the client’s lifetime revenue. Reps need the send-invoices permission to bill.
- Past-due invoices show as a red count on the dashboard’s Client Billing & Invoicing tile (owner view), just below the Snapshot’s Outstanding figure. No badge means nothing is past due.
What each role can do
Owner runs the company, managers run the day-to-day, reps work what they’re given.

- Owner: everything, including the team, subscription billing, Stripe, contract templates, the public profile, and data export.
- Manager: full day-to-day access. Managers can purchase credits, send invoices, see all records, manage clients, assign leads, and view the account activity log from the Team & Activity tile or Profile & Settings.
- Rep: works leads and clients within their permissions. Each rep’s toggles (purchase credits, send invoices, see all records, manage clients) are set by the owner on the Team Members page.
Coverage states
Point each rep at their territory.
Show steps
- Set coverage states on a rep from the Team Members page.
- New-lead alerts for that rep narrow to leads in those states. A rep with no coverage states gets alerts for all company leads.
- Your company’s own coverage areas also scope the Signal Leads feed, so the “All my states” filter shows your territory first.
