You’re almost set up.
Here’s the quick tour — set your account up once, then follow the workflow from first lead to paid invoice. You can come back to this page anytime from your profile or the dashboard.
Help & How-To
Set your account up once, then follow the workflow from first lead to paid invoice. Search a task, or tap any step to expand it.
Install the app & finish onboarding
Add TrustGuard to your home screen and complete the quick setup wizard.
Show steps
- On signup, install the app: iPhone → Share → Add to Home Screen; Android → tap the Install prompt.
- Complete the onboarding wizard — company details, your name, and your armed/unarmed focus.
- You land on your Dashboard. The rest of setup below lives in Profile & Settings.
Set up your public profile
Create your public company page so businesses and AI search can find you.
Show steps
- Go to Profile & Settings → Public Profile.
- Add your company overview, services, coverage areas, logo, and any testimonials.
- Publish — you get a public page (and it’s made readable to search + AI assistants). You can unpublish anytime.
Add your team & off-platform contacts
Invite people who log in (with permissions), plus a recipient directory for sending.
Show steps
- Team members (Profile & Settings → Team Members) log in and have a role: Owner (you — full access), Manager (broad access), Rep (scoped).
- Rep permissions you can toggle: purchase credits, send invoices, see all records (vs. only what they’re assigned), manage clients.
- Coverage states on a rep auto-route leads in those states to them.
- Off-platform contacts are a saved recipient directory — no login — e.g. dispatchers, site supervisors, or an attorney you send documents, post orders, quotes, or contracts to.
Connect Stripe (so you can invoice)
Link your Stripe account to bill clients and get paid online.
Show steps
- Go to Profile & Settings and Connect Stripe.
- Complete Stripe’s quick onboarding.
- Once connected, the Create Invoice button unlocks on every client’s Billing tab. (Until then it’s greyed out.)
Set your contract terms
Paste your standard terms once so contracts are ready to send.
Show steps
- Go to the Contracts → Templates tab.
- Tap Create Template and paste your terms & conditions.
- Save. Now Create Contract drops your details into your own terms automatically.
Purchase or create a lead
Get leads two ways — buy them from the Marketplace, or add your own.
Show steps
- Purchase: open the Marketplace, tap a lead, then Contact [Name] to unlock their full details with credits (up to 3 companies per lead; credits never expire — buy more on the Credits page).
- Create your own: My Leads → + Create Lead — type it in, or paste/import text and let AI structure it. Created leads stay private to your company.
Work a lead
Open a purchased lead — it has three tabs: Contact, Manage, and Work.
Show steps
- Contact tab: the lead’s full contact info + one-tap Call / Email / Text.
- Manage tab: set status, assign a rep, add reminders/tasks, and log activity.
- Work tab: build the job — service type, armed/unarmed, officer count, schedule (days + shift start/end auto-calculates total hours), and your billing rate.
- Fill the Work tab out completely — it feeds your quote and contract in the next step.
Send a quote or contract
From the Work tab, send a priced quote or a contract for signature.
Show steps
- Quote = a priced proposal emailed to the lead. Tap Send Quote on the Work tab.
- Contract = a binding service agreement sent for e-signature, built from the terms you saved in setup. Tap Send Contract.
- Both go out branded as your company; the signed contract saves automatically.
Create a client
A lead becomes a client automatically when they sign — no re-typing.
Show steps
- The moment a lead signs the contract you sent, TrustGuard automatically converts them into a client — with the intake details and the first service already filled in.
- You can also convert a lead manually anytime by marking it Hired.
- Either path builds the client record for you — nothing to re-type.
Send an invoice
Bill a client straight from their card (Stripe must be connected).
Show steps
- Open the client and go to the Billing tab.
- Tap + Create Invoice — it’s built from the service rate and sent to the client for online payment.
- Status tracks itself: sent → paid → overdue, and rolls into the client’s lifetime revenue.
Manage a client
Everything about a client lives on one card — and the Services tab is your day-to-day command center.
Show steps
- Header: contact info, one-tap Call / Email / Text, lifetime revenue, and status pills.
- Client Information dropdown: the full client details.
- Services tab — where you’ll spend most of your time. Set up new and recurring services, send post orders to your team and off-platform contacts, and create & send invoices for existing services.
- Other tabs: Contracts (agreements + e-sign), Billing (every invoice), Documents (send COI / W-9 / licenses), Notes (internal notes), Client History (full timeline).
